The perks of Digitalization

It seems that the world keeps turning faster and faster with each passing day.



We are confronted and “blessed” with new technologies on a more and more frequent basis and yet, somehow still stick to our old and known habits.



One of these habits is working analogue.



Recently, we have put a lot of thought into how we can improve the efficiency of our daily “To Dos” and also, how we can support the environment in the same context.


The answer to this is, of course, DIGITALIZATION!



I know, this topic may sound boring, but I promise, once you give it a chance and give it a go, you will not regret the step into the digital way of working.



Why would we store tons of paper if we can save everything safely digitally and further access it from anywhere at any time?



Ever since we opened the doors of The SPOT, we knew that we would like to manage a mostly digital property.



It basically all started with our “state-of-the-art” Check-in Terminal from the Swiss provider KEY & CARD.



The Check-in Terminal allows our guests to check in at any given time and to fill out a digital registration form, which is stored safely and according to the German GDPR law.



At the same time, it marks the guest as checked in on our POS (Property Management System) and hands out the key-cards and the relevant room number to the guest.



This process usually doesn’t take more than 1-2 minutes, so even less than if the guest had to fill out the registration by hand.



Furthermore, the Check-in Terminal is equivalent to 1-2 full-time employees and is therefore a very money-saving solution for our property.



Surely, we didn’t want to stop there!



In the beginning of 2017 we started to digitalize all Housekeeping processes and processed all necessary information digitally, which massively improved our overall efficiency and also helped to better organize our daily schedule and therefore the overall guest-satisfaction.



The biggest challenge for us so far was the digitalization of our accounting and finances.



Just recently, we found a great solution in cooperation with our tax office, in order to stop the monthly paper-madness and succeeded in developing a 100% digital processing of our invoicing and cash reporting.



This was a big step forward and we don’t only save lots of money for mail sending and printing, but also support the environment, which certainly feels great!



By now, we are very proud to say, that we are 100% digital and do not need any more paper on a daily basis.



Of course, we still have a printer and if our guests need anything printed out, we are happy to help them out.



So, welcome to The (digital) SPOT! But don’t worry, we will still be there for you in a non-digital manner, as well!
